Requirements:

The Finance & Admin Executive will be responsible for the full spectrum of finance and administrative matters for Gusto Collective Malaysia.

You will play an important role in providing comprehensive finance and administrative support to the management team of Gusto Collective Malaysia, as well as working closely with the Singapore finance team. In your day-to-day, you will be providing support in financial analysis (budgeting/forecasting), decision-making, ensuring the smooth daily operations of the company, and maintaining a well-organized work environment for the Malaysian team.

Responsibilities:

Your areas of focus will be:

  • • Finance (60%)
    • • Accounts Payable and Receivable: Review and process accounts payable and accounts receivable transactions for Malaysia, including accurate bookkeeping into Xero accounting software. Working knowledge of Xero is preferred.
    • • Internal Audit: Develop and implement internal audit procedures to assess the effectiveness of the organization's internal controls, ensuring efficient operations and compliance with financial regulations.
    • • Monthly Closing and Reporting: Assist in the monthly financial closing process and support in the preparation of accurate and timely financial reports.
    • • Finance Transformation: Collaborate on finance transformation projects aimed at improving and optimizing financial processes and systems with the Singapore finance team.
    • • Payroll: Timely processing of monthly Malaysian payroll and submission of EPF, SOCSO, EIS, year-end tax filing, government claims etc.
    • • Expenses Claims: To ensure timely submission and check that the account code is correctly selected.
    • • Ad-hoc duties as and when required.
  • • Admin (40%)
    • • Meeting and Event Coordination: Organize and schedule meetings, appointments, interviews, and company events, ensuring efficient use of time and resources.
    • • Document Management: Maintain a well-organized filing system for both paper and electronic documents, ensuring easy access and retrieval.
    • • Communication Support: Prepare and distribute memos, emails, and other communications as needed to facilitate effective internal and external communication.
    • • Travel and Expense Management: Assist with internal team travel arrangements (flights, per diem, etc.), and development of expense reports for internal tracking and compliance.
    • • Office Supplies and Equipment: Monitor and maintain office supplies and equipment to ensure a well-equipped and functional workspace.
    • • Monthly Internal Newsletter: Gather materials and information from Malaysia team to contribute to the distribution of Gusto Collective's monthly internal newsletter
    • • Ad-hoc duties as and when required.

You will need:

  • • A strong growth mindset: a commitment to develop and challenge yourself in the coming years, while completing day-to-day work with a high standard
  • • A Diploma or Bachelor's degree with equivalent experience in Accounting, Finance, and/or Administration. A professional qualification, such as CFA/CPA/FPAC, etc., is a plus
  • • At least 3 years of successful work experience in financial management, accounting, administration, and/or related fields. Prior experience in the agency field is a plus
  • • A keen interest in digital trends, curiosity, and a willingness to take calculated risks to drive Gusto Collective closer to its vision of being "Global Best in Class".
  • • Strong communication, interpersonal, and multitasking skills, with the ability to prioritize among different responsibilities, and work effectively with cross-functional teams and stakeholders
  • • Proficiency in using Xero accounting software with minimal to some guidance.
  • • Strong attention to detail and analytical skills to ensure precision in financial processes and administrative tasks.
  • • Fluency in both written and verbal English and Mandarin to facilitate effective communication.
  • • Prior experience in fast-growing startups will be an advantage.
